The Certum S/MIME Mailbox

The verification process and the documents required after purchasing a Certum S/MIME Mailbox certificate:

To issue a Certum S/MIME Mailbox certificate it is required to confirm the control over the e-mail address.

In justified cases, the Certum team may ask for sending additional documents, required for proper verification.

The Certum S/MIME Individual

The verification process and the documents required after purchasing a Certum S/MIME Individual certificate:

To activate the Certum S/MIME Individual certificate, verification of the subscriber’s identity is required. When activating the certificate, the user selects one of the available verification methods.

The available methods of verifying the subscriber’s identity are:

  • automatic identity verification (recommended) · confirmation of identity at the Registration Point or at the Identity Confirmation Point (read more), sample declaration can be downloaded here
  • notarial confirmation of identity
  • photos of the subscriber holding his/her identity document (ID card, passport, driving license, permanent residence card), allowing the comparison of the subscriber’s face with his/her photo on the document. Photos should present the complete document (both sides).

We would like to inform you that this copy will be used only for the purpose of processing the contract/order and after confirmation of your identity will not be further processed and will be immediately, permanently deleted from our database.

The fastest and recommended way to submit documents is to upload them directly through your Certum Store account.
To submit documents:

  • Log in to your Certum Store account,
  • Go to the “Data security products” section,
  • Select the appropriate certificate,
  • Upload the required documents.

If you are unable to upload the documents through your store account, please contact our Technical Support team via the Certum Contact page.

After verifying your request, we will provide you with the appropriate method for submitting the documents, along with all necessary information regarding secure file transfer and the next steps.

 

The Certum S/MIME Sponsor

The verification process and the documents required after purchasing a Certum S/MIME Sponsor certificate:

To activate the Certum S/MIME Sponsor certificate, verification of the subscriber’s identity is required. When activating the certificate, the user selects one of the available verification methods.

The available methods of verifying the subscriber’s identity are:

  • automatic identity verification (recommended) · confirmation of identity at the Registration Point or at the Identity Confirmation Point (read more), sample declaration can be downloaded here
  • notarial confirmation of identity
  • photos of the subscriber holding his/her identity document (ID card, passport, driving license, permanent residence card), allowing the comparison of the subscriber’s face with his/her photo on the document. Photos should present the complete document (both sides).

  • a certificate of employment or authorization/power of attorney confirming the subscriber’s relationship with the organization. Required only if the person applying for the certificate is not authorized to represent the institution on their own, e.g. on the basis of an excerpt from the National Court Register (power of attorney template)
  • company registration document, when the company is not listed in the registry.

The Certum S/MIME Organization

The verification process and the documents required after purchasing a Certum S/MIME Organization certificate:

To activate the Certum S/MIME Organization certificate, verification of the organization existence is required. Certum requires providing company registration document, when the company is not listed in the registry.

The fastest and recommended way to submit documents is to upload them directly through your Certum Store account.
To submit documents:

  • Log in to your Certum Store account,
  • Go to the “Data security products” section,
  • Select the appropriate certificate,
  • Upload the required documents.

If you are unable to upload the documents through your store account, please contact our Technical Support team via the Certum Contact page.

After verifying your request, we will provide you with the appropriate method for submitting the documents, along with all necessary information regarding secure file transfer and the next steps.

 

NOTE!


Validity of the documents being the basis for verification of the certificate:

  • For new orders and for renewed certificates, documents with information from public registers may not be older than 13 months
  • Authorization documents, whether they are timely or not – remain valid for 13 months from the date of issue of the certificate
  • Identity documents must be up-to-date (valid) on the day the certificate is issued.
